US Privacy Policy Template: Customization

This guide explains how to edit the provided US Privacy Policy templates. If you do not already have the documents, please request them from our support team. To ensure your published Privacy Policy complies with U.S. federal and state regulations, carefully follow the steps below when customizing the provided Word files.

Please review the documents carefully to ensure that your internal practices align with its contents. The document is designed as a starting point for organizations without a current policy. You may choose to incorporate sections of the templates into an existing Privacy Policy.


1. 📄 General Privacy Policy

This is your primary Privacy Policy document and must reflect your company's actual data collection and usage practices.

Required Edits:

Page 1

  • Enter your company name, full legal address, and official website URL

  • Add the link to your EU Privacy Policy (if applicable)

  • Specify which U.S. states your Privacy Policy applies to

  • Set an effective date for the policy

Pages 2–4

  • Carefully review and adapt the following sections to match your operations:

    • Section 2.2 – Data collection and processing details

    • Section 2.5 – Third-party data sharing or selling

    • Section 3.1 – Contact and requests from users

    • Section 4.1 – Data retention practices

    • Confirm or remove references to tools like Google Analytics, Firebase, and advertising SDKs

    • List any social media platforms your company uses for integration or tracking

  • Insert your company name where indicated

2. 📄 State-Specific Privacy Notice

This addendum addresses individual U.S. state privacy laws such as the California Consumer Privacy Act (CCPA/CPRA) and similar laws in other states.

Required Edits:

Page 1

  • Fill in all yellow-highlighted fields:

    • Company name, website, contact info

    • Live URL of your published Privacy Policy

  • Add your privacy contact email and business address

  • Update the Privacy Policy link

  • For California and other regulated states:

    • Add a visible “Do Not Sell or Share My Personal Information” link to your website

    • If applicable, notify [email protected] when a user opts out

    • Include a “Limit the Use of Sensitive Personal Information” link if your site processes such data

  • Review and revise Section 1.3 to reflect your exact user data handling

Pages 5, 6, 8, 10, 11

  • Ensure your most current email address is used consistently throughout the document
